Publication and Training Coordinator

Position Overview
The National Grants Management Association is actively recruiting for a Publications and Training Coordinator to join our team. This role reports directly to the Director of Education and Events. It assumes responsibility for overseeing and advancing NGMA’s thought leadership and professional development initiatives. It manages the Association’s current signature publication, creation of new written materials (books, whitepapers, articles), coordinating the delivery of trainings and ensuring the accuracy of materials and the quality of trainers. The main responsibilities include:

Publication Management (30%)

  • Manages content review and development of the Grants Management Body of Knowledge (GMBoK) Guide.
  • Coordinates sales and printing of the GMBoK Guide and monitors the contract of third-party fulfillment vendor.
  • Works with editor and/or subject matter experts to develop new publications/content that coordinate with NGMA educational programs.
  • Develop and maintain a pipeline of new grants management publications, such as thematic books, white papers, and articles on grants management topics.

Educational Program Development and Maintenance (55%)

  • Coordinates the NGMA Grants Management Body of Knowledge (GMBoK) training (both virtual and in-person). This includes an annual in-person event in Washington D.C.
  • Works to develop and implement new training programs as part of the Strategic Framework.
  • Creates standard operating procedures for all new educational projects to ensure consistency and knowledge transfer.
  • Partners with the marketing and communications team to promote education in all marketing channels.
  • Builds relationships with external training providers, vendors, and subject matter experts to enhance the range of development opportunities.
  • Writes and manages any requests for proposals for program development according to internal policies.
  • Monitors program performance, collects feedback, and analyzes results to make data-driven adjustments and ensure continuous improvement.
  • Develops recruiting trainers/faculty processes, rubrics for assessing trainer/faculty applications, onboarding materials and monitoring mechanisms.
  • Partners with subject matter experts and instructional designers to create high-quality content that addresses members' needs and meets program objectives.
  • Ensure all content reflects the organization’s values and meets accessibility standards.
  • Utilizes available technology for high quality delivery of programs and maximum efficiency of processes.

General (15%)

  • Supports NGMA’s Annual Grants Training as needed.
  • Demonstrates ability to solve problems, to manage systems and data, and to suggest appropriate solutions.
  • Works alongside technology team to make sure customer data, registration and accounting reports are accurate.
  • Other special projects assigned by the Executive Director or the Director of Education and Events.

Requirements

  • Bachelor’s degree preferred.
  • Minimum of two years of professional experience in education/learning development.
  • Minimum of two years of nonprofit experience (association management preferred).
  • Some knowledge of publication review and/or volunteer management preferred.
  • Strong customer/member service orientation.
  • Ability to collaborate effectively both internally across departments and externally to achieve organizational goals in a professional and timely manner.
  • Demonstrated ability to effectively organize, prioritize and manage multiple tasks to ensure timely and accurate results.
  • Ability to travel out of state and overnight as needed (anticipated 3-5 times per year).
  • Have a team-player attitude and commitment.
  • Professionalism: Good judgment, ability to interact with all levels of staff, volunteers, and vendors, appropriate demeanor, confidence.
  • Advanced computer proficiency, including Microsoft Office Suite and Zoom Meetings.
  • Ability to lift up to 40 lbs.
